Intent:
Smokebrush Foundation Innkeepers have the shared responsibility with the Lodging Manager of ensuring the smooth running of guest visits, including the scheduling process and operations of retreats and events onsite, as well as prompt and thorough response to inquiries via lodging email and AirBnB. This position is responsible for greeting guests, answering phone calls, assisting guests with questions regarding the Smokebrush campus, booking reservations, and cleaning of common areas.
Job Summary:
Smokebrush Innkeeper is responsible for creating a welcoming and positive experience for guests and potential guests. This person must have a high aptitude and professionalism to work with both internal and external customers and clients. Must work with all departments of the Smokebrush Foundation to put on successful guest stays, events, and workshops. Smokebrush Innkeepers are responsible for ensuring all areas inside the homes and on the patios are clean, sanitary, comfortable, and tidy. The Smokebrush Innkeepers directly report to the Smokebrush Lodging Manager.
Duties and Responsibilities:
- Uphold the protocols and procedures of the company
- Answer phone, accurately book, change and cancel reservations, and ring up retail sales.
- Properly open and close office and gift shop/farm store
- Effectively handle customer complaints
- Problem solve ongoing issues
- Monitor Front Desk area for cleanliness
- Organize and effectively manage time to ensure all customer inquiries are responded to within 24 hours or communicate status to team
- Communicate to management on any issues involving staff or guests that require attention
- Help maintain a clean, safe, fully stocked and well organized work area
- Work efficiently in reservation system
- Refill brochures and any other Smokebrush event information in Rockledge common areas
- In case of Lodging Managers absence, coordinate housekeeping schedule with General Manager
- Supervise decoration of rooms, arrangement, cleaning stains, assembly, declutter, clean and refresh
- Communicate needs to all departments
- As one of the few points of contact, accommodate guests, presenters and visitors
- Conduct guest tours of houses and grounds
- Oversee the stocking of office and housekeeping supplies
- Inform Lodging Manager of any maintenance concerns/recommendations from departing guests requiring action
- Review housekeeping staff’s work and provide feedback.
- Knowledge of “green” cleaning and investment in keeping the homes chemical-free
- Assist in communication about guest stay logistics with appropriate staff
- Assist Events Manager or handle private event scheduling, coordination and event logistics
- Work with marketing, media, housekeeping, farm, facilities and any other department to successfully put on an event
- Field inquiries over the phone and via email, forward as appropriate
- Foster a welcoming & safe experience for guests and staff
- Encourage open and professional dialog within the innkeeping team
- Other duties as assigned
Position Requirements:
- High school diploma or equivalent required
- 3 years of customer service experience
- Ability to work some weekends required
- Must have flexible work schedule
- Strong attention to detail
- Must work effectively on a team
- Be self-managing and accountable
- Act with the highest integrity, honesty, and uphold the image of the Foundation in the face of the customer
- Must have enthusiasm and possess excellent customer service skills
- Must possess basic math and money handling skills
Physical Requirements:
Lifting 50 lbs (when necessary)
Walking up and down stairs, using step stools and/or ladders (with support)
Cleaning, sweeping and mopping motions
